REGISTRATION

There are two separate registration processes for exhibitors.

1. Booth Registration – This is for securing a booth at the expo and is typically completed by a company representative. It includes details about booth size and specific requirements.

2. Badge Registration – All exhibitors attending the expo must register for a badge. This registration also collects information about accommodations.

Set-up and break-down crew do not need to complete this registration. Instead, they will check in at the expo entrance and receive a designated wristband for each day.

Exhibitors must wear their badges at all times to access the expo and certain events. The badge often serves as both a ticket and identification, confirming participation in the event.

Be sure you enter any discount code if applicable. Please contact your merchant to review booth rates. 

Once confirmed, you will receive an invoice from the NMG accounting department (approximately 7-10 business days). Please reach out to exhibitors@nationwidegroup.org with any questions or modifications. If you wish to pay by credit card, you can simply return to your registration and modify the payment page.

GENERAL

Halls B-D in the Music City Center Convention Center. 

You will receive a notification of your location and booth number the end of June-beginning of July.

BOOTH SETUP & SERVICES

  • Each exhibiting company receives two (2) complimentary exhibitor booth badges per 100 square feet. Exhibitors needing additional badges should email exhibitors@nationwidegroup.org
  • Exhibitor booth badges provide access to the PrimeTime expo hall and general session.
  • A basic online company listing and logo on the interactive floor plan
  • Items provided in your booth:
    • 8' High Backwall Drape with 3' High Sidewall Drape
    • 7" x 44" Cardstock Identification Sign
    • First night of pre-show cleaning
    • Booth carpeting – Tuxedo
    • 1 table, 2 chairs and 1 wastebasket per 100 sq. ft. of booth space (only when ordered by deadline)

We offer complimentary booth packages, but they must be ordered by the deadline. You can find this under Products>Packages> Event Collection.

Any hanging sign or apparatus must be approved by Show Management and is only available to booths that are at least 20’ wide by 20’ deep.

We try our best to avoid columns or place with minimal impact. You will be notified if your booth is affected.

MOVE IN/OUT

Advance Warehouse
If you shipped to the advance warehouse, your materials will be delivered promptly and be ready in your booth by exhibitor move-in.

Direct to Show Site
If you shipped direct to show site, delivery timing will depend on your carrier’s arrival and the overall volume of shipments. Please check with your carrier for specific delivery updates.

No. The Advance Warehouse is available from 8am-4pm, Monday-Friday.

Yes. Nothing will be accepted without a weight.

Shipping

Shipping refers to the transportation of your materials from their origin (e.g., your office or warehouse) to the event location.

This service:

  • Can be provided by any carrier of your choice
  • Involves the pickup of your freight and its delivery to either the advanced warehouse or directly to the show site
  • Is your responsibility to arrange and typically billed separately from event services
  • Is available through Shepard Logistics Services

 

Material Handling

Material handling is the management of your freight within the event facility, to and from your booth location.  

This service:

  • Is exclusively managed by Shepard at the event site
  • Includes:
    • Unloading your freight at the receiving dock
    • Transporting your items to your booth
    • Removing and storing empty containers during the event
    • Returning empty containers to your booth after the event
    • Moving your freight back to the loading dock
    • Loading your items for return shipping
  • Is a standard event procedure with costs typically based on the weight of your freight
  • Must be ordered by you in advance to ensure efficient handling of your items upon arrival

Cost-Saving Tip: Consolidate your shipments to minimize charges. Each separate arrival incurs a minimum charge, so pack items together on pallets when possible.

If you're shipping materials after PrimeTime, you'll need to complete a Material Handling Authorization (MHA) form. This mandatory form releases your freight from the show floor and authorizes Shepard to load your materials onto your carrier’s truck or to ship them out on your behalf. A MHA form is required for all freight not hand-carried out of the venue.

Before the event, the MHA form will be emailed by Shepard Logistics to the primary exhibitor contact and is also available on ExhibitorPro under ‘Services’ > ‘Material Handling’ > ‘Overview’ > ‘Outbound Paperwork.

When you receive the form, please review and confirm the following details before submitting:

  • Shipping destination
  • Bill to address
  • Selected carrier
  • Number of pieces and total weight
  • Your preferred backup shipping option

Yes, if you're using a carrier other than Shepard Logistics, it’s your responsibility to coordinate pickup of your outbound freight during the designated move-out timeframe after the event.

When completing your MHA form, you’ll be required to select one of the two backup shipping options in case your carrier fails to check-in by the final move-out deadline:

Option A: Reroute Via Shepard’s Selected Carrier

Shepard will ship your freight to the designated delivery address on your MHA form using our preferred carrier. Costs for transportation will be applied to the method of payment on file or invoiced per their Payment Policy.

Option B: Return Shipment to Warehouse

Shepard will transport your freight back to our warehouse for later pickup by your carrier. A member of their team will contact you with details once your materials are ready for retrieval. Please note that additional storage and transfer fees apply. Rescheduling and related costs are the exhibitor’s responsibility. Charges will be applied to the method of payment on file or invoiced per their Payment Policy.

MOBILE APP

To access the PrimeTime Mobile App, please download Attendee Mobile in the Google or Apple store, then search for Nationwide PrimeTime, and then find the event for August 2025.

Log in using the email and password you used to register for PrimeTime. 

You must be logged in to create your personal agenda. Once in the schedule tab, click on the session you are interested in. You will then see the option with the session details to add the session to their agenda, and click the Clock Icon > Add to My Agenda. You can also remove sessions from your agenda.
